tasks / Responsibilities

   » Support the day-to-day functioning of the Supporter practice team;
   » Assist in documenting and monitoring departmental budgets, including processing departmental invoices and maintaining timely flow-through of expense reporting;
   » Monitor and maintain departmental inventory of office supplies, including mass print materials for use in sponsor communications. Source best-price options for stationery, print materials, reply envelopes and maintain inventory levels;
   » Provides meeting support and logistics to the Supporter practice leadership abilities team: facilitate calendar, agendas and minutes for leadership abilities team meetings as well as quarterly calibrations. Ensure that meetings are held regularly, have a defined agenda and that participants are engaged;
   » Provide logistics and organization support for departmental visitors or events;
   » Assist with travel planning and preparation for individual team members;
   » Prepare and maintain regular performance reporting in support of departmental processes. Support preparation of presentations and departmental communications as required;
   » Maintain contact lists and validate email list-serve for global sponsorship community;
   » Maintain departmental organization chart for communication within and outside our team;
   » Responsible for departmental records (i.e., invoices, regulatory reports) within organization guidelines and policies;
   » Facilitate maintenance and continuing improvement of departmental SharePoint site, ensuring timeliness of posting and enhancing uscapability for finding critical information;
   » Provide back-up support to Supporter Care exceptions processing as needed;
   » Project manage and/or execute special projects as assigned;
   » Purchase or rental of office space, maintenance, provision of utilities, completion of related legal requirements;
   » Administration of use and maintenance of vehicles and motorcycles;
   » Procurement of office supplies and minor items;
   » Oversight of stock, warehousing and distribution of materials;
   » Maintaining, upgrading, and disposing of assets in the most cost effective manner visitor arrangements, logistics for in-country meetings etc;
   » Development and implementation of preventive and mitigation actions;
   » CO internal and external audits support;
   » Develop action plans in response to audit and implement corresponding actions;
   » Compliance management (child safeguarding, code of conduct, local statutory requirements);
   » Physically taking employment contracts to appropriate government official for review and approval;
   » Filing and updating employee personnel files (recognizing in some countries we may not be able to maintain all files electronically); auditable records;
   » Serving as point person for candidate interviews, onboarding of new employees (f2f activities such as set-up of office/cubicle?laptop, telephone, coordinate schedules/calendars);

   » Serving as point person for govt. statutory compliance (in case of visits, compliance audits, or responding to any queries);
   » Serving as ChildFund representative for various networks in the country (e.g., NGO boards, HR network groups);
   » Establishes operational plans for security management of the NO; analyzes the safety and security needs of the organization to recommend and introduce appropriate safety and security measures;
   » With the direction from management, ensures that all safety and security implementations are in line with the standards of ChildFund's safety and security plans, SOPs, and contingency plans;
   » Conduct threat assessments and risk analysis, and make recommendations responding to mitigated measures;
   » Aligns the NO security management system with the NO enterprise wide security management by ensuring the full contingency plan is implemented and maintained at all times at the country's and cluster sites;
   » Other tasks as assigned.

Qualifications /practice

   » 2-3 years' practice in administrative support or similar function, showcasing outlined capacities;
   » Excellent communication expertise (developing correspondence, presentations, etc.) across multiple levels of the organization;
   » capability to work independently with minimal supervision and to maintain confidentiality and a high level of discretion;
   » Strong organizational expertise and the capability to prioritize workload, meet deadlines and perform multiple tasks with attention to detail required;
   » Strong computer expertise, with familiarity in using Microsoft Office suite applications with advanced use of excel and strong use of word and power point required;
   » practice with budget tracking;
   » Team player, self-starter, sense of humor and capability to contribute to a strong and friendly working environment;
   » capability to develop relationships with multiple stakeholders, manage time effectively and negotiate deadlines;
   » Attention to detail and capability to anticipate peoples' needs;
   » Travel required or not (do not put percentages because these can change)


   » High school degree required; college degree preferred;
